AccuRoute® – Omtool’s Enterprise Document Capture and Routing Solution

AccuRoute is Omtool's award-winning document handling platform that captures, converts and distributes paper and electronic documents. AccuRoute is the document routing hub that captures and transforms both paper and electronic-based documents and routes the information within and outside an organization. With applications and product extensions for legal, healthcare and financial services. AccuRoute is the unique software platform that enables flexible distributed-document capture with enterprise-class manageability, reliability, scalability, security, auditing and tracking. AccuRoute uses special routing rules called "embedded directives" to capture, optionally convert and route scanned documents according to specific instructions. Stored as a PDF, the intelligent routing sheet can be archived for re-use, distributed to team members or posted on a corporate Web site for pre-defined, general-purpose routing. Alternatively, workers who prefer to use the front panel of a smart MFP or other scanning devices may access the same routing instructions from the device itself. AccuRoute lets you:

  • Capture paper and electronic information for efficient document handling with distributed end-user access.
  • Achieve Compatibility with any networked scanner, scan-enabled digital printer, copier, fax, or multi-function peripheral (MFP).
  • Convert paper and electronic documents into a variety of formats including text-searchable PDF, TIFF, JPEG, DOC and TXT files.
  • Combine paper and electronic-based information to create "mixed-mode" documents.
  • Create personal and public document-handling rules (embedded directives) that may be saved for reuse.
  • Compress documents up to 80 percent of original file size, reducing bandwidth and storage requirements.
  • Communicate with various destinations and recipients simultaneously, such as desktop PCs, faxes, e-mail, network folders, printers, document repositories, document management systems (DMS), records management systems (RMS), enterprise content management systems (ECM), litigation support systems, healthcare information systems - even hand-held devices.

Convert Paper into Electronic Formats

With the transition of paper into electronic workflows, documents become increasingly more accessible and as a result, employees enjoy increased productivity by being able to quickly locate documents, especially when documents are text-searchable. Electronic documents are inherently less likely to be lost, misplaced, misdirected, or consume valuable real-estate costs when stored like paper documents.

Centralize and Manage “Mixed-Mode” Documents

AccuRoute is not limited to the capture of paper documents. Electronic documents are also converted and distributed through AccuRoute, all from the user’s desktop. One of the key benefits of AccuRoute is the ability to combine paper and electronic documents (or “mixed mode documents) into one distribution. With AccuRoute there is no longer a need for separate processes to handle electronic documents vs. paper documents.

Create PDFs and Perform Document Compression

So many business processes today require documents in specific formats such as a PDF or TIFF file. Further, IT storage limitations and transmission restrictions require documents to be compressed whenever possible. With AccuRoute, documents can be automatically converted to PDF and compressed as they are passed through the AccuRoute Server and delivered or saved to the required destination(s).

Configure to Your Infrastructure and Enable Remote Connectivity

The flexibility of AccuRoute’s configuration and the enterprise-class quality of the underlying AccuRoute Server makes access to AccuRoute that is inline with your business needs. The configuration of servers and location of users will be up to you in defining how access to AccuRoute is enabled. Users at one location share an AccuRoute Server that may be accessed by remote users through the company WAN or over HTTP. Omtool also offers the option of satellite servers for your smaller offices and Web-based clients for users that may need to access AccuRoute while on the road. The configuration is up to you.

Enterprise FAX with AccuRoute

Included with every AccuRoute platform, organizations can utilize a full-featured, enterprise fax system with high performance, stability, flexibility, true scalability, and ease of deployment as well as full integration with the advanced routing capabilities of AccuRoute. Because enterprise fax is an integrated part of any AccuRoute platform, companies can benefit from significant cost savings through the consolidation of scan and fax machines.

Secure Fax Feature

Achieve compliance with regulatory requirements, corporate record retention policies, or HIPAA guidelines using the secure fax feature within AccuRoute’s fax module. The system can be configured to send faxes only to authorized recipients, thereby eliminating the possibility of confidential information being sent inadvertently to an incorrect fax number.

Compatible with VoIP and FoIP

AccuRoute is compatible with the latest Voice-Over-IP (VoIP) and Fax-Over-IP (FoIP) technology. Compose Component
Depending on your processing workload, you can choose to designate specific compose components to handle specific jobs to increase performance. For example, one compose module can process PDF conversions, while freeing another composer to handle only files from the ERP.

Object Archive
Omtool’s archive product has the flexibility to store any object type and can support millions of data objects without performance limitations associated with traditional file-oriented database archive systems.

Server-to-Server Component
Server-to-server routing enables faxes to be sent from one location to another, so outbound faxes can be sent using a local calling area rather than long distance.

Embedded MFP Support
Device clients are available for certain models of HP, Ricoh, Sharp, and Xerox multi-function peripherals (MFPs) that run embedded applications inside the device, presenting users with an interface for selecting options and interacting with applications on the network.

Cost Recovery
This integration allows walk-up users to access advanced scanning capabilities with the scan-enabled MFP from the cost recovery terminal providing efficient matter-centric cost recovery processes using vendor-specific solutions.

Image-InTM Queue
This desktop companion product enables an operator to quickly review received faxes and redirect them to the appropriate recipient.

DMS Conversion Tool
This powerful and flexible batch utility identifies and extracts image files from a DMS, converts them to a text-searchable PDF, and re-saves them into the DMS.

Barcode Data Extractor
This optional extension efficiently scans, detects, and reads standard barcodes (1D and 2D) then captures the barcoded data and passes it through to other applications (using an AccuRoute Connector) as metadata for that document.

The AccuRoute/Genifax server installation requires a dedicated system that meets the following minimum requirements: Windows NT domain computer that always runs in the same domain and is not a domain controller

  • Dual core processor; 2 GHz; 4GB of RAM; RAID 5 with 100 GB of disk space; CD-ROM drive

  • Microsoft mouse or compatible pointing device

    *Note - Omtool recommends using a core for each compose thread that is configured to do OCR. The AccuRoute/Genifax server comes with 4 Compose threads. You can increase the number of threads as needed. Contact CPI sales for more information.

  • Windows 2003 Standard Edition SP2, Windows 2008 64 bit IIS with the following components: Common Files, Internet Information Services Manager, SMTP Service (for SMTP connector which is installed with the server) and World Wide Web Service.

    *Note - In IIS v6.0 or later, configure to allow Active Server Pages. This configuration is located in the Web Service Extensions node in the IIS console tree.

  • Disable Internet Explorer Enhanced Security Configuration (Windows Component).

    *Note - If this component is enabled, you cannot install AccuRoute/Genifax server. After you disable the component, reboot you system before proceeding with the server installation. For instructions on how to verify that the component is disabled, see Verifying that Internet Explorer Enhanced Security Configuration is disabled (2-17) Microsoft .Net Framework 2.0 (this is required to install SQL Express 2005 and Exchange2007 connector)

  • Exchange 2000/2003 System Manager (for Microsoft Exchange Server 2000/2003 integration only) The Omtool server and the Exchange server must be running the same version of this application. When updates and service packs are applied to the Exchange server, they must be applied to the AccuRoute server.
